# @(#) /home/lab/doc/accounts/term_accounts 1.5 2009/08/27 15:50:07 About ``term'' accounts ----------------------- Note: "term" as used here is synonymous with "semester". Enrollments in CS courses have been on the increase. Therefore, the number of UTAs and class accounts are also on the rise. Due to the inconvenience of setting up these short-term accounts with a signed, sponsored account form for each account (ie, the usual procedure), and also the inconvenience of later identifying and removing these accounts, the Lab Staff devised a more streamlined system for these types of accounts. Here's how it works: o A "Duke C.S. Academic Term Accounts Form" will be made available to Faculty and TAs as an online Web form, found at . o Separate instructions for the form are also available online at . o At the start of each term, a procedures notice will be e-mailed to Faculty and TAs. o As we receive the data from the forms, the accounts will be set up in small batches, usually on the same day. (This is a mix of automated and manual steps.) o Account names will be chosen by the Lab Staff, and will be based on the NetID or some derivative of the person's name. o As each account is set up, an automatic e-mail message will be sent to the user's ACPUB (or some other) address, with instruction on how to activate their account, and making clear the intended acceptable uses for the account and that the account will be disabled two weeks after the end of the term. o Each user will need to get access to their account by stopping by a Lab Staff member's office, and showing a picture ID. At that time, they will be given their account name and password. o Prior to the end of the term, reminder messages will be sent out that the accounts will be deactivated. o Two weeks after the end of the term, the accounts will be disabled. They will not be removed at this time in case any of the accounts are needed the following term, at which time they could be reactivated. o One month or more into the following term, any of the accounts that have not needed to be reactivated can be removed along with other expired accounts. ## end of document ##
